  19. How to Contact Us

1. Scope of This Policy

This policy applies to information collected through the website at bruhsoon.hair, through email and telephone contact with our team, and through the delivery of our services at our West Jordan facility. It covers personal information that identifies or relates to an individual, including names, contact details, correspondence and the contents of documents entrusted to us for printing or digitization. It does not cover information that has been fully aggregated or anonymized so that no individual can be identified, because such information no longer falls within the reach of privacy law as we apply it.

Where we act as a service provider to a business client, the client remains responsible for the information it provides to us for processing. In those situations we process the information only on documented instructions and only for the purpose the client has set. Where we collect information directly from an individual who visits this website, BRUHSOON LLC acts as the controller of that information. The distinction matters because it determines who answers a request about access, correction or deletion.

2. Information We Collect

We collect information you choose to provide and information created automatically as you use this website. The categories below describe what we gather and why.

Information you provide

  • Contact details such as your name, email address, telephone number and postal address when you write to us or submit the contact form.
  • The subject and content of your message, including the details of any job you ask us to quote or schedule.
  • Documents, images, drawings and files you send for printing, design or digitization.
  • Billing and payment details needed to complete a transaction.
  • Records of your preferences, such as the stock, ink or delivery arrangement you have asked us to remember.

Information collected automatically

  • Technical data such as the type of device, operating system and browser you use.
  • Network data such as an internet protocol address and approximate region derived from it.
  • Usage data such as the pages you view, the time of your visit and the page that referred you.

We do not use this website to collect special category information such as health data or political opinions, and we ask that you do not include such information in messages unless it is genuinely necessary for the job you are requesting.

3. How We Use Information

We use the information we collect to run our business and to deliver the services you request. The main purposes are set out below.

  • To respond to enquiries and prepare quotations for print, design and digitization work.
  • To schedule sprint windows, proof sessions and delivery runs on the drum calendar.
  • To produce, finish and hand off the documents and records you have asked us to process.
  • To keep run sheets, batch records and naming rules so future work matches earlier output.
  • To send invoices, receipts and service notices connected to a transaction.
  • To protect our systems, prevent misuse and investigate security incidents.
  • To comply with legal, tax and accounting obligations that apply to our business.
  • To improve our website, services and intake process based on how the site is used.

We do not sell personal information, and we do not use the contents of documents you entrust to us for any purpose beyond the job you have asked us to complete.

4. Legal Bases for Processing

Where the law requires us to identify a legal basis for processing, we rely on one or more of the following grounds.

  • Contract. Processing needed to provide a service you or your organization has requested, including preparing a quotation and delivering finished output.
  • Legitimate interests. Processing needed to run our business responsibly, such as keeping records, protecting our systems and improving our services, balanced against your rights.
  • Legal obligation. Processing needed to meet tax, accounting and record keeping requirements.
  • Consent. Processing based on your clear permission, such as signing up for a newsletter, which you may withdraw at any time.

Where we rely on consent, the choice is genuinely free and a refusal does not prevent you from contacting us about a job or using the rest of this website.

5. Cookies and Similar Technologies

This website is deliberately lightweight. We use a small number of essential cookies and local storage entries to keep the site working, such as remembering that a menu was opened during your visit. These entries do not identify you by name and they are not used for advertising.

Where we use analytics, it is configured to measure pages and visit patterns in aggregate rather than to build a profile of an individual. You can block or delete cookies through your browser settings, and the website continues to function without them. If a future change introduces a cookie that requires consent under applicable law, we will ask for that consent before the cookie is set.

6. Print Room Intake and Files

When you send a file to the print room, we handle it as confidential business material. Access is limited to the operators who prepare the master, run the drum and finish the batch. Files are stored in a working folder tied to your job ticket and are removed from the working folder once the job is complete and the run sheet has been archived.

If we hold a master on your behalf so that a future reprint matches the original, we keep it in a separate archive with access restricted to the same operator group. You may ask us to delete a stored master at any time, and we will confirm the deletion in writing. Where a print job contains information about other people, such as a customer list, we treat that information as entrusted to us under your instruction and we do not reuse it for any other purpose.

7. Archive Digitization and Records

Digitization work can involve sensitive paper records, so we apply additional care. Records are scanned on an isolated workstation, and the resulting files are written to an encrypted working drive that is dedicated to the project. Blank sheets and duplicates are removed so that the delivered archive contains only meaningful pages.

Once the digital index and the image files have been handed over and accepted, the working drive is wiped and the originals are returned to you in the same order they arrived. We keep the agreed naming rule and a delivery note so that the archive can be understood later, but we do not keep a second copy of the scanned images unless you ask us in writing to store a backup for a defined period.

8. How We Share Information

We share personal information only in the limited situations below and always with an expectation of confidentiality.

  • With a courier or postal service when a printed or scanned deliverable must be shipped to you.
  • With a payment processor when a transaction must be completed and a receipt must be issued.
  • With professional advisers such as an accountant, under a duty of confidence, when required.
  • With authorities when the law compels disclosure or when disclosure is needed to protect safety and rights.
  • With a successor entity if our business is reorganised, provided the successor honours this policy.

We do not rent, trade or sell personal information, and we do not disclose the contents of client documents to any third party except as needed to complete the requested service.

9. Service Providers and Vendors

We rely on a small set of vendors to keep the studio running, such as a website host, an email provider and a shipping partner. Each vendor is chosen with care and is permitted to use information only to deliver the service we have engaged. Where a vendor processes personal information on our behalf, we put a written agreement in place that covers confidentiality, security and the deletion of information when the engagement ends.

We aim to keep the vendor list short, because every additional vendor is an additional place where information must be protected. If you would like a summary of the categories of vendors we use, you may request it using the contact details at the end of this policy.

10. Data Retention

We keep personal information only as long as we need it for the purpose it was collected, and for any period the law requires. The general rules we follow are set out below.

  • Enquiries that do not become jobs are kept for a short period and then removed.
  • Job records, run sheets and invoices are kept for the period required by tax and accounting law.
  • Client documents are removed from working storage once the job is complete, unless you ask us to keep a master.
  • Scanned archives are removed from working drives after handover and acceptance.
  • Website analytics are kept in aggregate and in a form that is not tied to an identifiable person.

When a retention period ends, we delete or anonymize the information in a way that prevents it from being reconstructed.

11. How We Protect Information

Security is a daily habit rather than a single product. We protect information with a combination of access controls, encrypted drives, locked storage and clear handling rules. Our workstations use up to date software, our network is segmented so that scanning and print traffic stay apart, and our paper records are kept in a locked room within the West Jordan facility.

Only operators who need access for a job can open the files connected to that job. We train the team on handling confidential documents and on recognising suspicious messages that might target a client. If a security incident ever affects your information, we will notify you without undue delay and explain what happened, what we are doing and what you can do.

12. Privacy for Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under the age of sixteen. If you believe that a child has provided information to us, please contact us and we will delete the information promptly.

Where a document submitted for printing or digitization contains information about a child, we treat it as confidential material entrusted to us by the client and we process it only to complete the requested job. We do not use such information for any other purpose.

13. Your Privacy Rights

Depending on where you live, you may have rights over the personal information we hold about you. These can include the right to know what we hold, the right to request a copy, the right to ask for correction, the right to ask for deletion, the right to restrict certain processing and the right to object to processing based on legitimate interests.

To make a request, write to us using the contact details below and describe what you would like. We will verify your identity, respond within the period the law allows, and explain any reason that prevents us from acting in full. You will not be charged for a reasonable request, and you will not be treated differently for exercising a privacy right.

14. California Privacy Notice

If you are a California resident, additional rights may apply to you. You may request to know the categories of personal information we have collected, the sources of that information, the business purpose for collection and the categories of third parties with whom we share it. You may also request deletion and correction, and you may ask us not to share information for cross context behavioural advertising, a practice we do not carry out.

We do not sell personal information as the term is commonly understood, and we do not knowingly collect or sell the personal information of minors. An authorised agent may submit a request on your behalf where the law permits, provided the agent can show written authorisation. We will respond within the timeframe required by California law.

15. International Visitors

BRUHSOON LLC is based in the United States, and our systems and vendors are operated mainly within the United States. If you contact us from another country, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your home jurisdiction.

Where required, we put safeguards in place for a transfer, such as standard contractual clauses with a vendor or a written data processing agreement. You may contact us for more information about the safeguards that apply to a particular transfer.

16. Email and Marketing Choices

We send service messages about jobs, invoices and deliveries because they are part of the service you requested. We send marketing messages only when you have asked to receive them or where the law permits a limited exception for existing clients.

Every marketing message includes a way to stop future messages, and a request to stop is honoured promptly. Stopping marketing does not affect the service messages that are needed to complete a job you have already requested.

17. Third Party Links

This website may link to external sites that we do not control, such as a mapping service or a payment page. We are not responsible for the privacy practices of those sites. We encourage you to read the privacy notice of any external site before you provide information to it.

A link from our website to an external site does not mean that we endorse the site or its privacy practices. If you believe a link is broken or misleading, please tell us so that we can review it.

18. Changes to This Policy

We may update this policy when our services change or when the law requires a change. When we do, we will revise the date at the top of the page and, for a material change, we will make the change prominent on the website or contact affected clients directly.

Continuing to use the website or our services after an update means that you accept the revised policy. If you do not agree with a change, you may stop using the website and contact us to close any open matter.
